Billing overview

Billing is your firm’s revenue surface — every invoice, every payment, every recurring charge, every billable hour, all in one place. Card and ACH payments are processed by Stripe; Assure Pro keeps the source-of-truth record.

Where to find it

Open Billing from the sidebar. The page opens to the Invoices tab by default, with two more tabs alongside it:

  • Invoices — every invoice in your firm
  • Recurring — monthly, quarterly, and annual schedules
  • Time — billable hours

Two related screens sit one click away from the Billing toolbar:

  • Service Catalog — reusable service templates that auto-fill into invoice line items
  • Payment Methods — saved cards and bank accounts for each client

Triaging what needs your attention

At the top of the Invoices view, four colored tiles show the work that needs you next. Click a tile to filter the list below it; click again to clear.

The Awaiting and Overdue tiles also show the total open balance. The Failed tile is a placeholder in V1 — auto-pay retries do happen, but the count stays at 0 for now.

When a tile is active, the toolbar shows “X of Y” so you can see how heavily the queue is filtering the list.

Reading invoice statuses

Every invoice carries one of these statuses, shown as a colored badge:

A Paid invoice can flip back to Partially paid if you issue a refund. A Draft never appears in the client’s portal — you have to send it first.

Searching and filtering

The toolbar below the queues offers:

  • Search — by invoice number or client name
  • Status filter — multi-select; pick any combination
  • Service Catalog button — opens your reusable line-item templates
  • Log time button — opens the Time tab

The status filter and queue filter compose. If you pick the Overdue queue and then add Partially paid to the status filter, you’ll see partially-paid invoices that are also overdue.

Acting on many invoices at once

Select two or more invoices in the table to reveal the bulk action bar at the bottom:

  • Send — drafts only
  • Mark paid — for payments you received outside Assure Pro (cash, check)
  • Cancel — voids the invoices
  • Export — downloads a CSV

Your selection stays as you scroll, but clears when the visible list changes (for example, when you switch queues).

Where invoices come from

Most invoices you’ll see are ones you typed by hand. But Assure Pro also creates invoices automatically in a few cases — and they all flow into the same list:

  • Typed by hand — created from the New invoice form
  • From time entries — generated when you bill logged hours
  • From signed engagement letters — when a client signs a letter with a retainer, the retainer invoice appears immediately
  • From recurring schedules — generated on a monthly, quarterly, or annual cadence
  • From signed add-ons — sign-time invoices for package add-ons
