Members & invitations

The Team page is where you invite teammates, see who’s already a member, and assign people to teams. Only the firm owner can manage teams and users — anyone else opening this page sees a “Only the firm owner can manage teams and users” message.

Where to find it

Open Team from the sidebar. The page has two tabs at the top:

Each active firm user shows as a row:

Sorted by: owner first, then admins, then alphabetical by full name.

How to invite a member

Click + Invite Member in the top-right. A small dialog opens:

The invitee picks up their permissions from the union of the teams you assign — see Teams & permissions.

What happens on send

  1. Assure Pro adds the person to the pending invitations list.
  2. An email goes to the invited address with a sign-in link (24-hour expiry).
  3. The Pending Invitations card on the Members tab updates.
  4. The invitee follows the link, sets a password, and lands on the dashboard.
  5. The invitation is consumed and the user joins as an active member.

If the email bounces or the link expires, you can resend from the Pending Invitations card.

Pending Invitations

If any invitations are outstanding, a Pending Invitations card appears below the Members list:

  • Resend — re-sends the invitation email with a fresh 24-hour expiry.
  • Cancel — voids the invitation. The link in the original email stops working.

How to edit a member’s teams

Click the pencil on a row to open the team-membership editor (inline, replaces the list temporarily).

The editor shows every team in your firm as a checkbox. Check or uncheck to add or remove the user from teams. Click Save to apply.

Owner vs admin vs team-member

Three tiers, in order of authority:

Owner (one per firm)Full access to everything. Bypasses team permission checks. Only role that can manage Team & Roles. Single per firm.
Admin (zero or more)Bypasses team permission checks. Can see and edit everything except team management.
Team memberPermissions = union of all teams they’re a member of. Sees only data their teams allow.

Most users are team members. Owner and admin are flagged on the user and are checked first in every permission gate — they short-circuit team checks.

Pending Approval (new-firm state)

When a brand-new firm signs up, the account sits in pending-approval until our team reviews and activates it. The owner sees the pending-approval page:

During pending-approval:

  • The owner can see this page only.
  • No invitations can be sent (no team page access).
  • No clients, engagements, or billing can be created.
  • The owner gets an email when approved.

Approval is currently a manual step on the Assure Pro side. Typical turnaround is one business day. After approval, the firm gets the full sidebar and can start working.

Deactivating someone (workaround for V1)

V1 has no in-app “deactivate user” button. Workarounds:

  1. Remove them from every team — they retain sign-in but can’t see anything.
  2. Reset their assigned clients (an admin can re-assign clients in Settings).
  3. Reach out to support to deactivate properly.

A deactivation flow with role management is on the roadmap.

Activity attribution

When a user does something — creates a client, sends a message, signs a document — the activity feed records their full name. If you remove them from all teams or deactivate them later, the historical attribution is preserved. This is why we don’t hard-delete users.

Admin and team members opening the Team page see the “Only the firm owner can manage teams” message instead of the editor.
