Bulk actions

On the Clients list, check any row (or the header checkbox to select all visible) and the bulk action bar anchors to the bottom of the screen. Three actions are available:

  • Assign To — set preparer, reviewer, signer, or assignee across selected clients.
  • Add Tag — apply a tag to all selected clients.
  • Delete — archive the selected clients. (It hides them from active views — it doesn’t permanently delete.)

The bar shows how many clients you’ve selected and has a Clear selection ✕ on the right.

How to select clients

Select all matching the filterClick the header checkbox, then click Select all N clients matching this filter in the banner that appears.

The selection survives sort and column visibility changes. It clears when you change filters or navigate away.

How to bulk assign

Click Assign To in the bulk action bar.

The dialog opens with:

RolePreparer, Reviewer, Signer, or Assigned to.
UserPick a firm user. Only users with the relevant permissions appear.
Apply mode”Overwrite existing” (replace whatever’s assigned) or “Only assign clients with no current assignment for this role” (preserve existing assignments).

Click Apply. Assure Pro assigns the selected role on every selected client. The action is logged in the activity timeline for each client.

Use this when:

  • Onboarding a new preparer and handing them a batch of clients.
  • Reassigning a departing staff member’s work.
  • Setting up team coverage for a slice of returns.

How to bulk tag

Click Add Tag in the bulk action bar.

The dialog opens with a tag picker:

  • Type to search existing tags.
  • Click + Create “your-new-tag” to make a new one inline.

Click Apply. The tag is added to every selected client. Existing tags are preserved — bulk tagging is additive.

To remove a tag in bulk, filter the Clients list to clients with the tag (using the Tags filter), select all, then use the Remove tag option in the same dialog.

How to bulk archive

Click the red Delete button in the bulk action bar.

A confirmation dialog appears: “Archive N clients? This hides them from active views. Their history, documents, and engagements are preserved and can be restored later.”

Click Archive. Assure Pro sets every selected client to Inactive and removes them from the default Clients list view. Their engagements, documents, conversations, invoices, and notes all stay — they’re hidden until you toggle Show archived on the Clients page filter.

Bulk delete on the Clients page archives — it doesn’t permanently remove anything. Permanent deletion is a manual, per-client action and is only available through Assure Pro support, for safety.

What you can’t do in bulk

Some actions deliberately don’t have a bulk version:

Update custom field valuesUse the per-client inline editor — bulk would obscure which client got what.

If you need to do one of these for many clients, see if recurring billing or an organizer template applies — both let you template per-client work without manual bulk action.

Permissions

Non-admin users only see (and can act on) clients they’re assigned to. If you select a mix and you lack permission on some, Assure Pro applies the action only to the ones you have permission for and shows a banner — for example, “Action applied to 12 of 15 selected — 3 skipped due to permissions.”
